Administration Team Leader Role

We at Carina Medical and Specialist Centre are currently seeking for an Administration Team Leader.

At it’s core, this role is about:

  • Leading and supporting a team of receptionists and contact centre staff including recruitment of new staff (as required)
  • Management of billings and reports as required
  • Maintaining leave requests and approvals for team including absenteeism and rostering
  • Holding regular meetings with the team ensuring key issues and questions are addressed and
  • Maintaining the governance of billing practices and work on initiatives to improve effectiveness and efficiency of all billing processes
  • Alongside your team, ensuring the timely and accurate processing of all billing and debtors
  • Maintaining and establishing professional working relationships with internal and external stakeholders of the practice
  • Corresponding and communicating with patients, and Medicare regarding any outstanding debts or bills
  • Monitoring and following up debtors
  • Managing expenses and staff budgets in conjunction with the direction of Business Manager
  • Business development strategies for change and growth
  • With input from principals, management & staff, developing and maintaining appropriate Policies and Procedures for the business
  • Co-drive the next accreditation process, ensuring all standards are maintained consistent with accreditation standards as applicable to the service
  • Will be a 2IC to provide professional and competent support to medical practitioners whenever required (this role will not be heavily focused on supporting our Medical Practitioners and Allied Health providers but managing and leading the administration team, however on certain days your support may be required to fill in the gaps)
  • Ensuring all staff maintain patient and practice confidentiality

What do you need to succeed?

  • At least one-year current experience working in Medical Practice
  • Experience with staff supervision
  • Ability to work in team environment and be a leader
  • A broad understanding of business management and reporting
  • Knowledge and understanding of Medicare billing
  • Leadership and management skills – Ability and experience as a leader including setting direction, motivating and influencing others; ability and experience in major decision making and problem solving.
  • High levels of interpersonal and communication skills –at all levels within the industry and the wider community.
  • Business writing skills- Able to communicate with clarity across the practice and externally whenever required.
  • Computer literacy and IT Knowledge (MS Office, Outlook, basic troubleshooting)

Your hours?

  • Ideally, we would prefer 38 hours/week, however we are flexible with hours/days with the right candidate. (eg. 9-day fortnight or PT-4 days a week)
